As we continue to grow, we are seeking a Financial Operations Manager to enhance our financial strategy, drive cost savings, and support procurement processes.

Key Responsibilities

Financial Management & Reporting

  • Oversee accounts receivable (AR) including monthly invoicing, tracking deposits, and reconciling payments in QuickBooks Online (QBO).
  • Manage accounts payable (AP), including vendor payments, inventory purchases, and issuing purchase orders for inventory.
  • Prepare and analyze monthly financial reports, including P&L, Balance Sheets, and AR aging reports.
  • Ensure accurate recording and reconciliation of program incentive invoices, tracking ETF payments, and initiating ACH payments to partners.
  • Manage accrual accounting processes, ensuring accurate tracking of expenses and revenues.
  • Oversee and review biweekly expense report submissions.
  • Assist in financial planning activities such as budgeting, forecasting, and cash flow management.
  • Work with the company’s CPA to develop tax strategies and ensure compliance with tax planning.
  • Prepare and manage dashboards and reports to track project-level P&Ls, providing executive leadership with financial insights for decision-making.
  • Leverage AI and automation tools to streamline reporting, improve accuracy, and enhance financial decision-making.

Procurement, Cost Savings & Strategic Planning

  • Identify and recommend cost-saving opportunities within financial operations, vendor management, and inventory procurement.
  • Support the selection and negotiation of competitive services for the company, ensuring optimal vendor agreements and pricing.
  • Work closely with executive leadership and local business unit leaders to develop pricing models, cost plans, and resource planning for new solicitations and RFPs.
  • Collaborate with business unit leaders to drive cost-saving strategies that optimize company spending and improve operational efficiency.
  • Play a key role in selecting and implementing financial systems, payroll platforms, and expense management systems, ensuring best-in-class solutions that balance cost and value.
  • Monitor expenses, oversee approvals, and ensure spending aligns with budgeted expectations.

Payroll, Benefits, & Compliance

  • Oversee 401K enrollments, contributions, and healthcare tracking, ensuring correct financial reporting in QBO.
  • Help implement and transition to a new payroll vendor.
  • Manage financial tracking related to part-time employees, including reports and timesheets.
  • Ensure compliance with regulatory reporting requirements, including tax and financial audits.

Qualifications & Skills

  • Bachelor’s degree in Accounting, Finance, or related field.
  • 5+ years of financial and bookkeeping experience.
  • Proficiency in QuickBooks Online (QBO) and Excel.
  • Strong analytical skills with the ability to identify cost-saving opportunities.
  • Experience in vendor selection, procurement, and contract management.
  • Strong understanding of accrual accounting and corporate finance principles.
  • Ability to collaborate with a CPA on financial strategy and tax planning.
  • Experience in financial system selection and implementation.
  • Familiarity with AI-driven financial automation to improve reporting and decision-making.
  • Excellent attention to detail, problem-solving, and organizational skills.
